Lozzaw, I also expected an option to populate the contact with address information. I'm not sure of what you mean by "link the Business Contact from the Address record".

What I do from inside the contact record is use the 'Account' button just below contact name to create the link and then double click on the company name from within the contact record - up comes the account and I then copy and paste the address into the address box and check formatting by clicking the button to the left.

Hi,
I have linked my Business Contact to an Account. The Account record holds the company name and address details. When I link the Business Contact from the Address record, the Company and Address fields are NOT automatically populated from the Account, as I would have expected. This means that when running a Marketing Campaign/Mail Merge for the Business Contact, there is no address or company name shown.
How am I meant to add the company name and address detail to the Business Contact?

Thanks

Yes, as a general rule, deleting a BCM entity will delete its children (e.g. deleting a Business Contact will delete its Opportunities, and so on).

BCM considers Accounts to be legal entities with whom you have transactions, and Business Contacts to be people. To a BCM user the differences may only show up in subtle ways; e.g., an account may not have Home Phone.

The usual recommendation, in the case of a single person customer, is to create create an Account from the Business Contact when the Business Contact changes from a lead to a customer, and make the Business Contact a child of the Account.

So I have a Lead, stored as a Business Contact in BCM 2007, that did not pan out so I want to delete it from BCM. However, I would also like to store all the old information, history, etc so that a year down the road I could revisit it.

I fear if I just leave it in BCM and make it inactive or something then overtime this will cause my files to swell too much so I would like to export just that one Business Contact.

Is this possible, if so how? If there is a better way to go about doing what I want to do then please let me know. Thanks.

Newsgroup subject: Individual Who Is a A Lead/Contact, Later an Account

So I'm using Outlook with Business Contact Manager 2007, integrated with Office Accounting Express 2008.

Now "Accounts" in BCM correspond to "Customers" in Accounting (i.e. they are the same). And "Business Contacts" are associated with "Accounts" in BCM and they correspond as "Contacts" under "Customers" in Accounting.

Now this is all well and good if all the clients you deal with are companies, and you have contacts within them.

But a lot of my clients are individuals, like they might do landscaping or something, and they don't even have a company name. So when I am trying to get their business, and they are a "Lead" I list them under "Business Contacts". But then when it comes time to make them a real customer, in order to do any billing with them, I have to then add them to "Customers" in Accounting and that makes them popup as "Accounts" in BCM.

So now, in BCM, John Smith is listed as both "Account" and "Business Contact". Is this right? Seems redundant. It might make sense if John Smith INC was the company name (thus an "Account") and John Smith was the "Business Contact", but this is just an individual with whom I am doing business.

But if i delete the "Business Contact", will it break the association of all the files/emails/notes/appointments that were associated with that "Contact" that should now be associated with the "Account"?

Am I going about this all wrong? If so, please share how you do it. Thanks in advance.

#For a full answer I would need to know what sort of mailings you send out but from my work dealing with about 3000 contact I have, a full mailing of general information on A4 sheet folded once (easier to put into envelope taking into account UK postal rates on size of envelope.) with a sticky address label attached. For individual letters what about window envelope rather than trying to match up address printed envelopes with the customized letter. How you hold the data? Well there are several ways, the easiest is to use 4 fields slightly different from their original purpose like you do for first name.

field 1 john
field 2 SMITH
field 3 jane
field 4 JONES
(
That shouls give you
Dear <field 1> & <field3> (possible for some condition if field 3 was blank!

You would need to have conditions on the records within mail merge for address as well so (do you export the data to a comma separated file)
IF <field2>=<field 4> then print <field 1> & <field 3> <field2>
IF <field3>=<field4>="" (ie blank) then print <field1> <field2> just 1 person on mail shot
etc i hope you get the idea. What you have to be consistent is the data for each fields
Also are you not bothered with their initials or titles, another minefield mind you.
As long as you are happy with the formality/informality of your letters you can use in your mailings I think there is a solution.
Archived from: microsoft.public.outlook.bcm

I spend a good portion of my day switching between a business contact screen & a job folder that I create for each job. Is there a way to create a shortcut (or some kind of auto-link) on the Business Contact screen that points to the folder that I have assigned to it? I would like a different folder for each not job, not just a shortcut pointing to the top of the directory tree. Thanks.

Newsgroup subject: Dealing with couples with different last names
Archived from: microsoft.public.outlook.bcm

I was wondering how other enter contacts with different last names?

Right now, I enter spouses with the same last name like this:
Last Name: Smith
First Name: John & Jane
So the name displays as: John & Jane Smith

However, this does not work for couples who do not share the same last name.
I thought about using the Spouse/Partner field under the details section.
However, to make this a viable option, I need to be able to move that from the Personal Information Group to the Business Contact group in the Customize Form option. Is this possible?
Does anyone have any better/other solutions?

I do a lot of mail merges, so the solution must be able to display the full name of both contacts on letters/envelopes. First names only would be a plus too for letters.
